Privacy Policy

1. Who we are

TraderMind is operated by [LEGAL ENTITY NAME], a company incorporated in [STATE OF INCORPORATION], with a registered address at [REGISTERED BUSINESS ADDRESS]. This policy explains what we collect, why, who we share it with, and what you can do about it. For privacy questions or requests, contact [PRIVACY EMAIL].

TraderMind is a trading journal. Much of what you put into it is sensitive — your trading performance, your account balances, and your own notes about your emotional state. We have written this policy to be specific about that rather than generic.

2. Information we collect

Account information. Your email address and password. If you sign in with Google or Apple, we receive your email address and basic profile from them instead of a password. We never see your Google or Apple credentials.

Trading journal data. Everything you record about a trade: symbol, direction, entry and exit prices, position size, fees, P&L, timestamps, session, timeframe, setup type, strategy tags, and risk/reward.

Psychological and self-assessment data. This is the most sensitive category in the app and we want to name it plainly. It includes the emotions you tag before and after a trade, your free-text mental notes, lessons learned, mistake tags, execution and rule-adherence ratings, and your daily check-ins — focus level, confidence level, headspace, and your written intention for the day.

Prop firm account data. Firm names, account labels, account sizes, balances, drawdown and daily-loss limits, phase, payout counts and totals, and any notes you add.

Images you upload. Chart screenshots attached to trades, and images shared or annotated in trading rooms.

Community content. Messages you send in trading rooms, trades you choose to share into a room, and room membership.

Feedback. Bug reports, feature requests, and ratings you submit, together with your name and email so we can follow up.

Local device settings. Display name, trading goal, risk-per-trade, timezone, theme, accent colour, and dashboard widget preferences are stored in your browser's local storage on your device. They are not transmitted to our servers, and clearing your browser data will erase them.

What we do not collect. We do not ask for and do not want your broker or prop firm login credentials, API keys, government identification, or bank account numbers. Card details are entered directly with Stripe and never reach our servers. Please do not put credentials or identification documents into free-text fields or screenshots.

3. How we use your information

  • To operate the app — storing your journal, calculating analytics, rendering your calendar, and tracking prop firm rule usage.
  • To authenticate you and keep your account secure.
  • To process subscription payments and manage your plan.
  • To generate AI features when you explicitly trigger them (see section 4).
  • To deliver community features you opt into, such as trading rooms.
  • To respond to feedback and support requests.
  • To detect abuse, debug faults, and keep the service running.
  • To comply with legal obligations.

We do not sell your personal information, and we do not share it with third parties for cross-context behavioural advertising. We do not use your trading data to train AI models.

4. AI features — what is sent and when

TraderMind includes optional AI features. They run through a model provider reached via Base44's AI gateway. AI features are never automatic — nothing is sent to a model unless you press the button that starts it.

Journal Coach. When you run an analysis, we send your most recent 20 trades and your last 7 daily check-ins to the model. For trades this includes symbol, direction, P&L, setup, session, date, your emotion tags, your rule-adherence answer, your execution rating, and your free-text notes — what went well, what to improve, and your mental notes. For check-ins it includes focus level, confidence level, headspace, and your written intention. This means your written reflections about your own psychological state leave our systems and are processed by a third-party model provider. We send only these fields; we do not send your name, email, account balances, or prop firm details.

Market news summaries. Generates summarised market headlines. No personal or journal data is sent.

Quote suggestions. Generates trading psychology quotes. No personal or journal data is sent.

Your choice. You can turn AI features off in Settings. With them off, the Journal Coach will not run and nothing from your journal is sent to any model provider. The rest of the app works normally.

AI output is generated text and can be wrong, incomplete, or misleading. It is not financial advice and must not be relied on to make trading decisions. See the Terms of Service.

5. Who we share information with

We share data only with the service providers needed to run the app:

Base44
Application hosting, database, authentication, file storage, and AI model gateway
Receives: All account and journal data you store in the app
Stripe
Subscription payments and billing
Receives: Email address, subscription status, payment details collected directly by Stripe
Google / Apple
Optional single sign-on
Receives: Email address and basic profile, only if you choose to sign in with them
AI model providers (via Base44)
Generating journal coaching, news summaries, and quote suggestions
Receives: Only the content described in the AI section below, and only when you trigger the feature

We may also disclose information if required by law, subpoena, or valid legal process; to enforce our Terms; or to protect the rights, safety, or property of our users or the public. If [LEGAL ENTITY NAME] is involved in a merger, acquisition, or sale of assets, your information may transfer as part of that transaction, and we will notify you before it becomes subject to a different privacy policy.

Community content is not private. Messages, images, and trades you share into a trading room are visible to the other members of that room. Do not post anything there you would not want those members to have.

6. Your rights and choices

Regardless of where you live, you can:

  • Access your data — everything you have recorded is visible in the app.
  • Export your trades to CSV from the Trade History page. For a copy of any other data we hold about you, including your check-ins, email [PRIVACY EMAIL] and we will provide it.
  • Correct any entry by editing it directly.
  • Delete specific data sets from Settings, or ask us to delete your entire account.
  • Turn off AI features in Settings.
  • Cancel your subscription at any time.

California residents. Under the CCPA as amended by the CPRA, you have the right to know what personal information we collect and how we use and disclose it; to request deletion; to request correction; to opt out of sale or sharing for cross-context behavioural advertising; and to limit the use of sensitive personal information. We do not sell or share your personal information as those terms are defined, so there is nothing to opt out of — but you may still exercise your other rights. We will not discriminate against you for doing so. Submit requests to [PRIVACY EMAIL].

Other US states. Residents of states with comprehensive privacy laws — including Virginia, Colorado, Connecticut, Utah, and Texas — have comparable rights of access, correction, deletion, and portability, and may appeal a refused request by replying to our decision. Use the same address above.

We will verify your identity against your account email before acting on a request, and will respond within the period required by applicable law.

7. How long we keep data

We keep your account and journal data for as long as your account is open. If you delete your account, we delete your personal data within 30 days, except where we must keep records longer to comply with tax, accounting, or other legal obligations — payment records being the usual example. Backups are purged on a rolling cycle, so a copy may persist briefly after deletion.

8. Security

Data is stored on Base44's infrastructure and transmitted over encrypted connections. Access to your records is restricted by row-level security so that other users cannot read your journal. Payment card details are handled by Stripe and never touch our servers.

No system is perfectly secure, and we cannot guarantee that unauthorised access will never occur. If a breach affects your personal information, we will notify you and any required regulator as the law requires. Use a strong, unique password.

9. Children

TraderMind is not intended for anyone under 18. We do not knowingly collect personal information from children. If you believe a child has provided us data, contact [PRIVACY EMAIL] and we will delete it.

10. International users

We operate from the United States, and your information is processed and stored there. If you use TraderMind from outside the United States, you understand that your data will be transferred to and processed in a country whose data protection laws may differ from those of your own.

11. Changes to this policy

We may update this policy. When a change materially affects how we handle your data, we will raise the policy version and ask you to review and accept it the next time you open the app. The "last updated" date at the top always reflects the current version.
